We aim to collect only the information reasonably necessary to provide, secure and administer the ExpertAccounting learning service.
1. Overview
This policy applies to the ExpertAccounting South Africa website, supported mobile applications, television interfaces and related learning services.
In this policy, “ExpertAccounting”, “we”, “us” and “our” refer to the organisation responsible for providing the ExpertAccounting learning platform.
By registering for or using the platform, you acknowledge the processing described in this policy.
2. Information we collect
Depending on how you use the platform, we may collect the following categories of information:
Account information
Your name, email address, encrypted password and account verification information.
Subscription and trial information
Your selected plan, payment status, currency, amount, subscription access dates and history, together with free-trial activation, start and end dates and eligibility history where a trial is offered.
Learning activity
Modules available to you, videos viewed, playback position, completion progress and last-watched information.
Session and security data
Session identifiers, login channel, authentication tokens and technical information needed to protect account access, including device, browser and network information used for security and trial-abuse prevention.
Support communications
Messages, attachments and other information you provide when requesting support.
Technical information
Basic browser, device, request, network and server-log information generated when the service is used.
3. How we use personal information
We may use personal information to:
- Register, authenticate and maintain your account.
- Enforce the one-active-session security rule across supported channels.
- Display learning modules, videos and live classes included in your learning entitlement.
- Save and display your learning progress.
- Process, verify and administer subscription purchases and payments.
- Communicate about your account, access, payments, security and service changes.
- Respond to support requests and resolve technical problems.
- Protect the platform against fraud, misuse, unauthorised access and security threats.
- Determine free-trial eligibility and prevent repeated, automated or abusive trial claims.
- Maintain records required for operational, accounting or legal purposes.
- Improve platform performance, reliability and user experience.
5. Service providers
We may use trusted service providers to operate parts of the platform, including:
- Hosting, database, storage and security providers.
- Cloudflare Turnstile for bot detection and security verification during registration and free-trial activation.
- Fingerprint for device-identification and fraud-prevention signals used to help detect repeated or abusive free-trial activation attempts.
- Bunny Stream for protected video hosting and playback.
- Zoom for scheduled live learning sessions.
- Email-delivery providers for account and security messages.
- Payment providers where an electronic payment method is enabled.
- Technical support and infrastructure providers.
These providers receive only the information reasonably required to perform the relevant service and are subject to their own security and privacy obligations.
6. Payment information
For South Africa online payments, we record information such as your selected plan, amount, currency, payment status, transaction or payment reference, payment date and access period.
Payments may be processed through the payment provider selected at checkout. ExpertAccounting retains the information reasonably required to verify the transaction, activate learning access, issue records and resolve payment queries.
ExpertAccounting does not ask you to provide your online banking password, banking PIN or private card-security credentials.
Where a third-party payment provider is enabled, payment information may also be processed directly by that provider under its own privacy terms.
8. Information security
We use reasonable technical and organisational safeguards designed to protect personal information. These may include:
- Encrypted password storage.
- Authentication and email verification controls.
- Single-session enforcement.
- Subscription and module-access checks.
- Signed links for supported application and television access.
- Restricted administrative access.
- Security logging, maintenance and software updates.
No website, database or internet transmission can be guaranteed to be completely secure. You should protect your password and notify us promptly if you suspect unauthorised access.
9. How long information is retained
Personal information is retained for as long as reasonably necessary to provide the service, administer subscriptions, protect the platform and meet applicable record-keeping obligations.
Subscription, payment, security and accounting records may be retained after learning access ends where they are needed for legitimate operational, dispute-resolution, fraud-prevention or legal purposes.
Trial eligibility and related security records may also be retained after a trial ends where reasonably necessary to prevent repeated or fraudulent use of promotional access.
Information that is no longer reasonably required should be securely deleted, anonymised or restricted from ordinary use.
10. Your privacy rights
Subject to applicable law and valid record-retention requirements, you may contact us to:
- Ask whether we hold personal information about you.
- Request access to relevant personal information.
- Request correction of inaccurate or incomplete information.
- Object to or question particular processing activities.
- Ask for deletion, restriction or anonymisation where legally appropriate.
- Raise a concern about how your information has been handled.
Account deletion requests
Accounts cannot be deleted directly from the profile page because they may be connected to shared login, payment, subscription and learning records. A deletion or restriction request may still be submitted to us for assessment under applicable law and valid retention requirements.
We may need to verify your identity before responding to a privacy request.
11. International processing
Some hosting, video, email, live-class or technical service providers may process information outside South Africa. Where this occurs, we aim to use appropriate contractual, technical and organisational safeguards suitable for the information and service involved.
12. Changes to this policy
This policy may be updated to reflect changes to the platform, service providers, security practices or legal requirements. The updated version will be published on this page with a revised “Last updated” date.
